Elite Amateur Sports

Custom app · Tournament management platform

Elite Amateur Sports ran its tournaments from separate Google Sheets. We replaced them with one platform for registration, ice time, scheduling, scoring and payments.

The challenge

Elite Amateur Sports has run youth hockey tournaments in Michigan since 2008, with boys, girls and AAU events from Squirt to Midget Major. Behind every event sat a collection of separate Google Sheets for entries, ice times, scheduling, registrations and payments.

Each sheet stood on its own. A late registration, a moved game or a partial payment had to be carried from one sheet to the next by hand, and the people running the event had to keep them all in agreement.

What we built

We built a tournament management platform into the organizer’s public website. The same system that lists upcoming tournaments now takes registrations, books ice, builds the schedule, records scores and collects payments.

Staff work from one admin area. Teams, skaters and the hotel partner each have their own sign-in, so everyone sees the same, current information.

Before and after

One system where the spreadsheets were.

  • Before: Entries sheet

Now: Teams register online for an event and division, and each team gets an account to follow its registrations.

  • Before: Registrations sheet

Now: Each registration keeps its team, division, discounts, notes and payment history together in one record.

  • Before: Ice times sheet

Now: Rinks and the ice time bought at each one are entered once, so games can only go on ice the tournament actually has.

  • Before: Scheduling sheet

Now: Divisions, pools, crossovers and brackets are generated, then adjusted on a drag-and-drop grid that flags conflicts.

  • Before: Payments sheet

Now: Card payments, emailed payment requests and receipts are tied to the registration they belong to.

The platform

What's inside.

  • Registration and payments

Online registration for each event and division, with deposits, discount codes and card payments through Authorize.net. Staff can email a payment link, and every payment produces a PDF receipt.

  • Ice and scheduling

Teams are sorted into divisions and pools and games are generated onto booked ice. The schedule grid flags double-booked teams, short rest and coaches with overlapping games.

  • Game day

A tablet page for the scorer's table, with large touch targets and one game open at a time. Final scores update the standings and move teams through the bracket.

  • Team accounts

Teams sign in to see their registrations, balances, receipts and tournament results, and to keep their profile and logo up to date.

  • Skills competitions

Separate registration for player skills events, with player profiles, printable player cards and results leaderboards.

  • Office tools

A tracker of every registration across upcoming tournaments, sorted by what still needs payment, plus a revenue report and a sign-in for the hotel partner.
